Repatriation from Japan to Poland
We organise bringing the deceased from Japan to Poland: documents from the country of death, Polish permits and transport of the body or urn.
- Issuing authority and document
- Certificate: the Polish Embassy in Tokyo. The export permit comes from the authorities of the country of death.
- Transport
- The body is carried by air as air cargo. We agree the arrival airport and the handover point in Poland with the family.
- Timing
- The starosta and the consul have up to 3 days for their documents (Article 14(5) of the Act on Cemeteries). We give the full timing once the documents from Japan are collected.
- Price
- We will quote the price once we know the details.
Procedure: Japan
Poland is not a party to the 1973 Strasbourg Agreement on the Conveyance of Corpses, so bringing a body from Japan always requires the Polish consul's certificate.
Documents from Japan are authenticated with an apostille if a Polish office asks for it (the country is a party to the Hague Convention, HCCH, as of 13 October 2026).
Japan: the death must be reported within seven days
Japan falls under the Polish Embassy in Tokyo, where the consul accepts applications in person or by post, and a visit is arranged by email. The consular fee is accepted only in cash, in yen, at the consulate's cash desk. The consul issues the certificate promptly, no later than three days after the application is filed.
Under the Japanese Family Register Act a death must be reported within seven days of learning of it. The duty falls first on a relative living with the deceased, then on other household members, and then on the owner or manager of the house where the deceased lived. A medical certificate of death or an autopsy report is attached to the notification. We organise this stage so that the Polish starosta's permit and the consul's certificate are based on a properly registered death, and air transport is booked only once the documents are complete.
The Polish consul's certificate
The certificate is issued by the consul of the mission named on gov.pl: the Polish Embassy in Tokyo.
How to get them: the starosta's permit and the consul's certificate.
