We handle cases in Azerbaijan through the Polish Embassy in Baku, at Kichik Gala 2 in the Old City (Icheri Sheher). The same embassy also covers Turkmenistan. A visit to the consular section is arranged by email, and documents can be submitted in person or by post. If the consul refuses, he issues a decision, against which a complaint can be lodged with the Minister of Foreign Affairs within 7 days, through the consul. The certificate is collected in person or sent by post.

A body can travel to Poland only with a specialised international transport company, while an urn with ashes can be carried in a sealed container. We organise the steps that follow: local documents confirming the death, the starosta's permit, the consul's certificate and the transport itself. Consular matters in Azerbaijan are handled by the Consular and Polish Community Section of the Polish Embassy in Baku. The office asks callers to phone mainly between 15:00 and 17:00 local time. The consulate does not reply to emails on matters whose answers are already on its website, and every letter should include the sender's name, address and the subject of the case. Letters that do not meet the requirements of the Code of Administrative Procedure are left unanswered. That is why we prepare the correspondence so that the office can accept it straight away.

The consul gives a single list of documents for remains and ashes: the burial permit from the starost or city president, which the family or an authorised funeral home can apply for, and a copy of the death certificate or another document confirming the death. The application can be filed without the family travelling, in person or by post, so you do not have to go to Baku just for the certificate. The document can be collected in person or sent by post, with postage paid by the applicant. We coordinate these steps from Poland.

If the family decides that the deceased will not return to Poland, the consul asks the local authorities for a burial under local law in a public cemetery, at the authorities' cost. The consul does not cover the family's financial obligations, does not give advice and does not decide for the family on the manner or place of burial. For urgent matters outside working hours the embassy has a duty telephone, but it is not for ordinary information. The embassy in Baku also covers Turkmenistan.
