Summary. Three Luxembourg papers carry the case: the doctor's attestation médicale, the death record and transport permit from the commune where the person died, and the laissez-passer mortuaire for burial outside Benelux. The death is declared within 24 hours. Ukraine has no embassy in Luxembourg, so the Ukrainian documents go to Brussels. The price from €3,300 covers the whole journey; the funeral in Ukraine is extra.
In Luxembourg a death is reported within a day, and how the body will be transported is decided at that point. So it is best to call us as early as possible: we will tell you straight away what to say at the hospital or the commune. We work ourselves, and XREQUIEM manages the whole process for you.
We take your call at any time
We ask which commune the death happened in, because its état civil office will handle the case. We also ask where the body is now and whether the passport is at hand. You hear the price in the same call.
We obtain the medical documents
Everything starts with the doctor's medical certificate of death. The other documents are drawn up on the basis of it.
We report the death at the commune
The death is registered by the commune's civil status office (état civil). The transport of the body is agreed there as well.
We arrange the permit to take the body out of the country
For burial outside the Benelux countries (Belgium, the Netherlands and Luxembourg) a “body passport” is needed: the laissez-passer mortuaire. It is drawn up by a medical inspector of the sanitary service.
We prepare the Ukrainian part
The commune's papers are in French. We have them translated into Ukrainian and certified, obtain the certificate of no prohibited items and put together the file for the embassy in Brussels.
We prepare the body and a hermetic coffin
A sealed metal coffin, the only kind the Ukrainian border lets through.
We bring the deceased home
A specialist vehicle drives from Luxembourg through Germany and Poland, or a flight covers part of the way. The family receives the deceased in your town.
The documents here have French names, but there are only three of them, and they follow one another: the doctor's certificate, the registration at the commune and the “body passport”.
What Luxembourg issues
Attestation médicale: the doctor's medical certificate of death. Everything starts with it.
Registration of the death: at the commune's civil status office (état civil), within 24 hours of the death. The same office is where the transport of the body is registered.
Laissez-passer mortuaire: the “body passport” for burial abroad, outside the Benelux. It is drawn up by a medical inspector of the sanitary inspection of the Directorate of Health (Inspection sanitaire, Direction de la santé), on the basis of the doctor's certificate.
What we take on
We go to the commune ourselves: the death record and the transport permit for the body are issued there.
We translate the French documents into Ukrainian and certify the translations.
We take the file to Brussels on the family's behalf.
Customs papers for the Ukrainian border are on us.
What we need from you
The deceased's passport, or a photo of it.
Your passport and a document showing you are a relative.
A power of attorney for us, signed remotely with our help.
Luxembourg signed the 1973 Strasbourg Agreement on the transfer of corpses. The laissez-passer mortuaire it requires is drawn up by the Inspection sanitaire, while the commune issues its own transport permit. Ukraine has not joined the agreement, so its border needs separate papers, which we prepare in parallel. The general list of papers for Ukraine is in the “Documents” section.
The Embassy of Ukraine for Luxembourg
Ukraine has no embassy in Luxembourg. The Embassy of Ukraine in Belgium, in Brussels, covers Luxembourg too, and an honorary consulate of Ukraine works in Luxembourg City, on Place d'Armes.
A consul registers the death of a Ukrainian citizen; for a death in Luxembourg this goes through the embassy in Brussels.
For that the consul needs the attestation médicale and the death record from the commune, both translated into Ukrainian and certified.
No consular fee for registering the death or the first certificate.
The family gets from the consul a certificate for the social protection authorities; it is the basis for the funeral allowance.
The certificate that nothing prohibited is in the body or coffin comes from the Luxembourg side. Brussels legalises it, and without it the coffin will not cross into Ukraine.
Under Luxembourg rules, the embassy or consulate of a foreign national is informed of the death with the death record or its international extract (form C) and the passport.
Consular staff from Brussels hold outreach sessions at the honorary consulate in Luxembourg City by appointment. The sign-up link appears on the websites of the embassy and the honorary consulate.
From Luxembourg the drive to Ukraine crosses the whole of Germany and Poland. We choose the route by your town in Ukraine, how urgent things are and what the family wants.
Where we collect from
We collect the deceased from Luxembourg City, Esch-sur-Alzette, Dudelange, Differdange and from any other commune in Luxembourg: from a hospital, a morgue or another place where the deceased is. Name the commune where the death occurred, because that is where the death is declared and the transport is agreed.
By road
We usually go by road: through Germany and Poland to a crossing point on the Ukrainian border. A specialist vehicle drives straight through, so the coffin is never moved from one vehicle to another.
Plane and road
When speed matters most, part of the journey can be by plane to an airport near Ukraine, followed by a road leg. The air leg takes from 2.5 hours. We do not promise direct flights to Ukraine.
How long it takes
The road to Ukraine takes from 24 hours, counted from collection. The wait before departure depends on how fast the commune, the Inspection sanitaire and the embassy issue their papers.
Ukraine accepts only a sealed hermetic metal coffin, and customs clear it on a free-form written declaration with the documents. Both are on us. More on the pages “Road transport” and “Air transport”.
Price of repatriation from Luxembourg

What the price includes
The price includes:

preparing the body for travel
hermetically sealed coffin with a zinc liner for transport
sealing as the border requires
usually by road; if needed, part of the way by air

Coffin of your choice and urn: free of charge.
What can change the price
It depends on where exactly in Ukraine we are going, whether we go by road or partly by plane, which coffin you choose, and which documents already exist and which have to be made from scratch. Tell us these details and we will give you the exact amount. Prices for other countries are on the “Prices” page.
Call us, day or night
Languages: Ukrainian, English, Polish, German. The same number in messengers.
If your relative is already buried in Luxembourg, we arrange the exhumation and bring the remains home to Ukraine for reburial. Our exhumation costs from €500 plus the cost of transport, with no prepayment.
How much does it cost to bring the deceased home from Luxembourg?
From €3,300. That covers the commune registration, the laissez-passer mortuaire, the Ukrainian papers, preparation of the body, a hermetic coffin and the drive through Germany and Poland to your town. A funeral in Ukraine is priced separately. The exact amount comes once we know the town and the type of transport.
How long does it take?
From 24 hours after collection. With a flight for part of the way, the air leg takes from 2.5 hours. Paperwork is usually the slow part, so the Luxembourg and Ukrainian documents run in parallel.
A death has to be reported within 24 hours. What if we missed the deadline?
Please do not worry, and do not try to sort it out on your own. Call us. We will find out what has already been done at the commune and carry on from there.
What is a laissez-passer mortuaire (body passport)?
It is a “body passport”: the document a body crosses borders with. For burial outside the Benelux it is drawn up by a medical inspector of the sanitary service. We arrange it ourselves.
Where is the nearest Embassy of Ukraine?
In Brussels: the Embassy of Ukraine in Belgium also covers Luxembourg. An honorary consulate of Ukraine works in Luxembourg City, on Place d'Armes. We file the papers in Brussels, so you do not need to go.
Which documents do you need from the family?
The commune and the Inspection sanitaire are our side of the work, so you need no Luxembourg papers. From you: the deceased's passport or a photo of it, your passport, proof that you are a relative, and a power of attorney. If you are in Luxembourg, send the passport photo right away and the commune registration will move faster.
What kind of coffin is needed? Is embalming required?
Ukraine admits the body only in a sealed hermetic metal coffin. Whether embalming is needed depends on the route, since some airlines take only embalmed bodies. Body preparation is in the price, and we tell you in advance if embalming is required. More in the article “Coffin and embalming for bringing a body to Ukraine”.
The deceased had insurance. What should I do?
Check whether the policy was issued in Ukraine or in Luxembourg, then send us a photo before you accept any funeral home's services: insurers usually approve costs in advance. Anything the policy leaves out we calculate separately and tell you at once.
Which places in Luxembourg do you collect from?
From any of the country's communes, Luxembourg City and Esch-sur-Alzette included: a hospital, a morgue or wherever the deceased is. Give us the commune and the address, and we agree a collection time.
Can you bring home an urn with ashes?
Yes. The urn travels with the death certificate and a certificate of no prohibited items legalised by the embassy. If the cremation is done in Luxembourg, the registrar of the commune authorises it on medical certificates, one of them confirming there was no pacemaker. Urn transport is priced from €800. More on the page “Urn transport”.
